Setting up appointments: services, staff and time slots

Create your services, your staff members and their schedules, then place the appointment booking form on your site.

Alongside accommodations, Kraft Booking handles appointment booking: massages, guided tours, classes, consultations, workshops. You define services and staff members with their schedules, and your clients book a slot themselves on your site, with online payment if you wish.

To make the appointment menus appear, first choose the booking type in Kraft Booking › Settings, BUSINESS MODE section: "Appointments (hourly services)" or "Both", then Save business mode. The Appointments, Services, Team and schedules and Appointment settings menus then appear.

Vocabulary

  • Service: what the client books (e.g. "60-minute massage"). It has a duration, a price and optionally a location.
  • Staff member: the person (or resource) who delivers the service. Each staff member has their own schedule.
  • Slot: a time offered to the client, calculated automatically from the service duration and the staff member's schedule.
  • Buffer: a gap added before or after each appointment (preparation, cleaning, travel).

Step 1: create your services

  1. Open Kraft Booking › Services, Create a service section.
  2. Enter the Name, a short Description and an optional Category (useful if you have many services).
  3. Enter the Duration (minutes) and, if needed, the Grid interval (minutes): 0 = one slot every "duration" minutes; 15 offers 9:00, 9:15, and so on.
  4. Set the Price (including tax, per seat) and the Deposit at booking (%): 100 = full payment; below that, only the deposit is paid when booking and the balance is due on the day of the appointment.
  5. Optionally enter a Displayed location (address or room, repeated in emails) and, for a remote session, a Video link (https).
  6. Set the Buffer time before (minutes) and Buffer time after (minutes) for this service.
  7. Tick the Staff members who deliver this service, then click Save service.

Online payment itself is chosen in the appointment booking module (Payment option, see step 5): without online payment, the appointment is confirmed directly and paid on site.

For services that welcome several people at once (group classes), see Group sessions, waiting list and reminders.

Step 2: create your staff members

  1. Open Kraft Booking › Team and schedules, Add a staff member or resource section.
  2. Enter the name, an optional Bio (shown to clients) and the Email (notifications) that will receive notifications about their appointments.
  3. Tick the Services delivered by this staff member and leave Active (bookable online) ticked.
  4. If needed, link them to a WordPress account (optional): a linked "Team" account only sees its own schedule.
  5. Click Save.

If you work alone, still create a staff member: they are the one who carries the working hours.

Step 3: define schedules

Click Edit next to the staff member:

  1. In Weekly hours, enter one or more working hours ranges for each day in the format "09:00-12:00, 14:00-18:00" (leave a non-working day empty).
  2. Add breaks in the dedicated column if needed, then Save hours.
  3. In Absences and leave, block dates (holidays, training) for the person or for the Whole team (closure), with a reason, then Add absence. Without a time, the absence covers the whole day.

The slots offered to the client are calculated automatically: the appointment must fit within a working range, excluding breaks, absences and appointments already booked; buffers prevent another appointment from being placed right before or after.

Slot interval

The Grid interval (minutes), set in each service, defines how finely times are offered (for example every 15 or 30 minutes; 0 = the service duration). A short interval gives the client more choice but can fragment your day.

Step 4: booking settings

In each service:

  • Minimum notice (minutes): for example 120 = no booking less than 2 hours before.
  • Bookable up to (days): how many days in advance (0 = no limit).

In Kraft Booking › Appointment settings:

  • Cancellation and rescheduling by the client: "Allowed online up to (hours before)" (24 by default) and "Late cancellation fee (%)".
  • Automatic reminders: "Reminder the day before (24 h before)" and "Last-minute reminder (hours before, 0 = off)".
  • Notify the staff member by email (new appointment, rescheduling, cancellation).
  • Appointment booking page: the address used in "a place has become available" emails.

The form asks for first name, last name, email, phone and an optional message. Times are shown in the site's time zone (WordPress, Settings › General), with daylight saving changes handled automatically.

Step 5: place the form on your site

The appointment form takes the client through a few steps: service, staff member (or "No preference": first available staff member), date and time, contact details, then payment. You can place it:

  • with the Divi module DiviKraft · Book an appointment, the Gutenberg block or the Elementor widget Book an appointment ("Kraft Booking" category), or the shortcode [divikraft_booking_appointments] (Bricks is coming soon: in the meantime, use the shortcode in a Shortcode element);
  • by pre-selecting a service or a staff member for a dedicated page ("Service (ID, 0 = all)", "Staff member (ID, 0 = any)"), and hiding the staff step if needed ("Offer staff choice").

To take payments online, choose "Online payment (Stripe / Kraft Pay)" in the module's Payment option: the client is sent to the payment page after choosing a slot; the appointment is confirmed on return. The 0.9% service fee (0.45% until 30 June 2027) applies just as for accommodations (see The 0.9% commission).

Tracking your appointments

Kraft Booking › Appointments shows the calendar in Day or Week view, with a filter by staff member. There you can create an appointment manually (New appointment, a client on the phone) then Create appointment, Move it or Cancel it, and mark it Arrived, No-show or Completed. The client is notified by email of every change, and so is the staff member if "Notify the staff member by email" is ticked.

In short

  1. Enable Appointments (or Both) mode in Settings.
  2. Create your services (duration, price, deposit, buffers, notice).
  3. Create your staff members and tick their services.
  4. Define working hours, breaks and absences.
  5. Set cancellation, reminders and notifications in Appointment settings.
  6. Place the form with your page builder.
