Property management company: how do I manage several rentals with a WordPress booking website?
A property manager or concierge service can run several rentals on one WordPress site: one accommodation and its iCal feeds per property, role-based access and an owner area. It is not a PMS.
A property management or concierge business can manage several rentals with GDA Kraft Booking by creating one accommodation per property, each with its own rates, iCal feeds and, if needed, its own tourist tax, then enabling the “Multi-property management” profile (“Gestion multi-propriétés”), which gives the team and the owners limited access by role and by accommodation. This set-up works well for a portfolio of a few properties up to a few dozen, with a share of direct bookings. The plugin is not a property management system (PMS) or a channel manager: beyond a certain multi-platform volume, a specialised tool will be a better fit.
Which property manager needs does the plugin meet?
| Need | How GDA Kraft Booking handles it | Limitation |
|---|---|---|
| Several properties, different prices | One accommodation per property, with its seasons and extras | Settings are made property by property |
| Properties in several municipalities | Tourist tax configurable per accommodation | You declare and pay over each municipality's tax |
| Several listings per property | Several iCal feeds imported per accommodation | Dates only, no prices or guest information |
| Showcase of all properties | Search and Search results elements | |
| Team and owner access | Kraft Booking › “Organisation”: business role and scope per account; “My accommodations” menu for owners | Read-only owner view |
| Arrivals and departures | “Arrivals” and “Departures” cards (next 14 days) in Kraft Console; tasks in Kraft Booking › “Operations” (“Opérations”) | |
| Online payment | Kraft Pay to the site's Stripe account | A single Stripe account per site |
The edition downloaded from the Kraft GDA customer area includes everything (Kraft Console, online payment, business profiles): no add-on to install. Enable the profile in Kraft Booking › Settings › “BUSINESS PROFILE” (“PROFIL MÉTIER”) › “Multi-property management”: the “Operations” and “Organisation” menus appear.
How should I organise the properties?
- Create one accommodation per property in Kraft Booking › Accommodations, with a clear internal name (area, street, a fictional apartment number in your notes).
- Configure the rates and services for each (the form's “Rates & seasons” and “Services” tabs): cleaning, linen, self check-in. Amounts can vary from one owner to another (see Seasons and rates).
- Configure the tourist tax per accommodation (“Services” tab, “Tourist tax” panel) when your properties are located in different municipalities, where such a tax applies (for France, see How do I calculate the French tourist tax?).
- Add the registration number specific to each property, where one is required (in France, for example), in the “Registration no.” field (“01 Identity” tab) and in its description, the only part displayed on the site.
- Create a showcase page with the Search and Search results elements, then one page per property.
How do I sync a large number of listings?
Each property has its own “Syncs” tab: one “Outgoing feed” link to paste on each platform, and as many imported feeds as there are listings (“Add” button). Import runs automatically every 15 minutes. For a portfolio of twenty properties listed on two platforms, that means forty imported feeds and forty export URLs to keep up to date.
Good practice:
- name each feed with the platform and the listing reference (“Airbnb, 1-bed city centre listing”);
- keep a mapping table of property, listing and feed;
- immediately delete the feed of a listing that is withdrawn or a property that leaves your portfolio;
- check Planning & rates › “Syncs” › “History & alerts” once a week, and enable Settings › “iCal sync alerts”;
- make sure a real cron job runs WordPress regularly.
The causes of double bookings and the checking routine are detailed in Avoid double bookings.
How do I give my team access?
With the “Multi-property management” profile, open Kraft Booking › “Organisation” › “Link an account” (“Associer un compte”): choose the person's “WordPress account”, their “Business role” (Property manager, Booking team, Accounting, Owner…) and the “Accommodation scope” they can see, then “Save access”.
Kraft Console, the front-end management area (/gestion/ address of the site), is reserved for administrators and accounts with the “Manager” (Gérante) role; it has no page or role setting. It shows, among other things, arrivals and departures for the next 14 days, the schedule, bookings, payments to follow up and the month's revenue, without entering the WordPress admin. As the “Manager” role has access to everything (rates, settings), keep it for the management of the business.
A fictional example set-up:
| Person | Access | Use |
|---|---|---|
| Owner of the property management business | Administrator or “Manager” (Kraft Console) | Settings, rates, refunds |
| Check-in coordinator | “Booking team” business role, limited scope | Bookings for the properties in their scope, “Operations” tasks |
| Owner of a property | “Owner” business role, their property only | Read-only “My accommodations” menu |
| Cleaning team | No access | Receives the cleaning tasks from the coordinator |
Keep access to the strict minimum: every account can see guests' personal data. See Kraft Console: the front-end dashboard.
What about owners?
An owner linked with the “Owner” role logs in with their WordPress account (username and password) and sees the “My accommodations” menu: revenue, occupancy, ADR, taxes, fees, commissions, upcoming stays and schedule, read-only. You can also give them a front-end area with the [divikraft_booking_owner_portal] shortcode (schedule, upcoming stays, “Exchanges with management” thread); they log in with the same WordPress account.
Which limitations should I be aware of?
GDA Kraft Booking, the plugin published by Global Digital Agency, is designed for direct booking and availability management. For a property manager, several features common in specialised software are not among the announced features to date:
- channel manager: no API connection with the platforms, no price sync;
- trust accounting for owners: payments arrive in the site's Stripe account; you prepare the split per property (the form's “Finance” tab, Kraft Booking › “Finance & partners”: partners and split rules), but keeping your owners' accounts remains to be done with your accountant;
- advanced cleaning and maintenance management: Kraft Booking › “Operations” lets you schedule tasks (Cleaning, Maintenance, Arrival, Departure), create one automatically at each confirmation (box on the “05 Booking” tab) and assign them, but not check-in and check-out reports;
- security deposit.
If you manage more than twenty or so properties listed on several platforms, with many last-minute bookings, property management software with a channel manager will generally be a better fit. The comparison is detailed in WordPress plugin or SaaS booking software?.
Which legal precautions should I take?
Collecting rent on behalf of owners, listing their properties or managing them in their name may fall under specific professional regulations, depending on the nature of your mandate, the sums you handle and your country. Have your status, your contracts with owners and the payment flow checked by a lawyer or accountant before offering direct booking with online payment.
Frequently asked questions
How many properties can I manage with the plugin?
The plugin does not limit the number of accommodations. The limit is practical: each property is configured and synced individually, which requires discipline beyond a few dozen properties.
Can I have one site per owner?
Yes. A single Kraft GDA account can link several sites, each with its own Stripe account enabled via the Kraft Pay flow. This is an option if each owner needs to collect their bookings directly.
Are prices synced with Airbnb and Booking.com?
No. iCal sync only shares blocked dates. Prices are managed separately on your site and on each platform.
Does the service fee apply to platform bookings?
No. Bookings imported via iCal do not go through Kraft Pay and carry no fee. Only payments collected online on your site carry the service fee of 0.9%, reduced to 0.45% until 30 June 2027, paid by the guest.
